Arts Horizons has a new listing and seeks a Hourly Bookkeeper ONSITE at our Englewood, NJ office.


JOB SUMMARY

We are seeking a detail-oriented and skilled part-time bookkeeper who will work onsite in our Englewood, NJ office during business hours for 8 hours per week. The consultant role offers a flexible schedule with potential for additional hours. The individual will invoice for services on a monthly basis.

The ideal candidate should be proficient in QuickBooks and Microsoft Excel and will ensure that nonprofit financial operations are accomplished efficiently and effectively. The role involves providing database support using QuickBooks to assist with Accounts Payables and Receivables, issuing monthly partner invoices, and overseeing vendor invoicing. The individual will also be responsible for critical data recording using Microsoft Excel spreadsheets. The position reports to the Executive Director and will work closely with the Program Departments and Finance Manager Consultant.

POSITION DUTIES

      • Accounts Receivables
        • Database entry of partner pledges in QuickBooks
        • Generate and issue monthly invoices
        • Oversee and manage collections and deposits
        • Update tracking protocols and monitor payment portals on a timely basis

        • Accounts Payables
          • Enter vendor bills and artist invoices in QuickBooks
          • Assist with bi-weekly bill payments
          • Update tracking protocol and provide status reports
          • Liaise with vendors and support purchasing procedures

          • File documents digitally and physically
          •  Conduct interdepartmental communication related to financial operations
          • Serve as a point person with vendors for office technology systems and platforms
          • Support with grants and donor management tasks on occasion
          • Execute special projects and/or research with the ED on occasion

          QUALIFICATIONS

          • Knowledge of QuickBooks and Microsoft Excel required
          • Ability to effectively manage time and meet deadlines
          • Ability to communicate effectively, both orally and in writing.
          • Ability to analyze administrative, financial, and technical problems and recommend effective solutions
          • Detail-oriented & able to work flexibly & collaboratively across different departments
